Complaint documentation should include: Product identification and batch information, description of the food safety issue, customer contact details and location, date and time of complaint, immediate actions taken, investigation findings, corrective and preventive actions implemented, and follow-up communication records.

Test details and laboratory results

Communication of testing results represents a crucial aspect of external communication. Organizations must share relevant test data with suppliers, customers, and regulatory authorities as required. A Certificate of Analysis provides detailed information about test results alongside product specifications, including data like pH levels, purity, moisture content, or microbial limits.

Test documentation should clearly indicate testing methods used, acceptance criteria, actual results, and whether results fall within acceptable limits. When results fall outside specifications, communication must include the corrective actions taken and verification of their effectiveness.

Creating an effective external communication format

A structured format for external communication ensures consistency and completeness. While specific formats may vary by organization and regulatory requirements, key elements should include document identification, issuing organization details, recipient information, date of issue, product or material identification, batch or lot numbers, specific information being communicated, and signatures or approvals from authorized personnel.
